Overview
Every year, the School of Arts and Sciences and the Hajim School hold numerous on-campus events, including conferences, meetings, and lectures. Event and Classroom Management (ECM) offers faculty, staff, and students in those schools a single point of access to a broad array of services.
General event planning:
- Prepare event budgets and estimates
- Generate online registration and payment process
- Coordinate all event logistics: Meeting space, diagrams, food and beverage, florals, linens, facilities, housekeeping, parking, transportation, security, etc.
- Negotiate hotel contracts and manage bookings and deadlines
- Produce event brochures, abstract books, name tags and program materials
- On-site event support, both technical and administrative
- Streamlined billing through ECM
Technology support:
- EMS (Event Management System) support and training
- Classroom technology support
- Equipment delivery and purchases (e.g. microphones, podiums, etc.)
- Live audio and projection services for meetings, presentations, guest speakers, panel discussion, press conferences, and more
- Audio and theatrical lighting for performances in Strong Auditorium, Wilson Commons May Room, and Feldman Ballroom
- Sound, stage, and lighting support for indoor and outdoor special events
- Audio and lighting for live bands
- Furniture services in Wilson Commons
- Help with computing and printing in labs and classrooms
- Lecture capture
- Audio and video conferencing
- Installation of LCDs, projectors, and AV control systems
- Digital signage installation and management
Planning of UR Commencement and other high-visibility events:
- Planning and management of UR Commencement ceremonies for Simon Business School, Warner School of Education, School of Medicine and Dentistry, School of Nursing, Eastman School of Music, and Doctoral and Master's degree ceremonies that take place at the Kodak Hall at Eastman Theatre
- Event planning and technology support for all diploma ceremonies on River Campus and the Bloch Alumni and Advancement Center (BAAC)

Standard working hours for ECM Help Desk:
During Fall and Spring semesters, the ECM Help Desk is staffed with a combination of full-time and student staff from 7 a.m. to 11 p.m. every day. ECM is closed for all University holidays and may have limited hours during academic breaks.
